PROCEEDINGS SCHEDULE There are two things that most determine your schedule for producing the VLDB Proceedings: The conference starting date, and the time required for shipping to the conference site. Boundbooks must be scheduled for delivery to the Conference Center at least two days before the date of the Conference, which is usually held at the end of August. Other items in the schedule should be assigned dates by working backwards from the bound book date. Allow a comfortable time period for each activity to ensure that each can be completed. Producing the book will require at least three months, including two months for development and production, and one month between mailing of Author Kits and receipt of the camera-ready pages for each paper. Following is a monthly summary of a typical proceedings schedule. When developing the schedule for your conference, you should compensate for individual differences of meeting time, available sources and location. 1. Monthly Activity Summary FEBRUARY or before (1) Contact Douglas Sery at Morgan Kaufmann to discuss general procedures and any questions you may have. He will be available throughout the year as your consultant on any matters that may arise, or for any other advice you may need regarding the proceedings. (2) Develop the annual logo for your advertising material. It will also be needed for composition of the volume's cover. (3) Include a version of the Proceedings Order Form with all conference literature, either mailings, advertisements or conference registration packets. Those who can't attend the meeting itself will use this to request a copy of the proceedings in advance. (See page 5) MARCH (1) Develop a schedule of deadlines based on the date of your Conference. Allow: (a) 4 weeks from mailing author kits to receipt of papers; (b) at least 3 weeks to prepare final copy for the printer - receiving and checking of submissions from authors, paste-up of page titles and page numbers (running heads and folios), and typesetting front matter; ======================================================================== Morgan Kaufmann Publishers, Inc. VLDB Organizers Kit Page 2 (I, Proceedings Schedule, continued) (c) 6-8 weeks for printing; (d) 2 weeks for shipping to the conference site. Thus, depending on your circumstances, we recommend a schedule that allows for at least 15 weeks between the acceptance notification and the conference date. (2) Prepare author kits (i.e., request for papers, permissions form, and sample format instructions). Request for papers must include a FINAL deadline for receipt of final camera-ready pages. (See page 6 for a sample Author Kit). APRIL (1) After the final acceptances, prepare address labels and mail author kits. (2) Arrange for a final rendering of the logo for use on the volume's cover. (3) Determine the minimum print quantity by estimating the number of conference attendees, plus the copies needed by Morgan Kaufmann for distribution after the conference. Use the Shipping Instructions included in this kit as a worksheet for finding a preliminary print quantity. It is essential that you confirm the quantity with Morgan Kaufmann before authorizing the print run. (See Print Quantity Worksheet on page 12). (4) Send out printer specifications. Ensure favorable terms by soliciting bids from at least three. Consider their potential performance on price, schedule, printing and cost considerations. A local university press or publication service are good sources for names of reputable printers. (See page 11 for a sample Printer Specification Sheet). (5) Select printer based on most reasonable price and reliability. Of course, having assurances that the proceedings will arrive on time is even more important than getting the lowest price. Printers will be able to provide you with references for their schedule and cost performance on past work. They will also provide you with samples of their work. (6) Confirm the correct ISBN and ISSN number with Morgan Kaufmann before finalizing the frontmatter and shipping pages to the printer, as all bibliographic sources rely on their accuracy. A list of the correct ISBN's to use for upcoming years is included. (2) Organize the papers by session topic, or subject area, and develop a Table of Contents for the volume. (3) Develop and finalize the other frontmatter (Title pages, Acknowledgements, Preface, etc.), backmatter (e.g. author index),wording for running heads and their folios. Have these produced in high-quality laser or Lino-tronic output. (See the Appendix for samples). (4) Prepare cover mechanical.(See page 14 for instructions). (5) Ship cover to printer. JULY (1) Develop a pagination guide for the printer. (See the Appendix for a sample). (2) Send camera-ready to printer with pagination guide and shipping instructions (approximately July 5). Printer may want to be informed of your shipping instructions in advance since most of the books will be shipped to other countries. Allow at least six weeks for printing and binding of boundbooks. (See Shipping Instructions, page 20). (3) Check schedule with printer and find out when printer will be returning "bluelines" or blueprints for your approval (approximately July 25). These are made from stripped-up negatives or positives, and are used as proof to check the position of image elements. They represent the final printed page and are your last chance to find errors in the front matter, page sequencing, and running heads. (See page 25 for instructions on how to check bluelines). AUGUST (1) Boundbook -- allow 10 to 14 days for shipping copies to the conference site, and for handling and receiving upon arrival (approximately August 15). (2) Arrange for shipments to Morgan Kaufmann and its agents. Format of the submission should follow the attached sample for layout, type sizes, and other details. However, there are variations among the many typesetting and wordprocessing packages in use. If you cannot replicate these specifications exactly, you may develop useable styles by approximating these guidelines where necessary. Opening page of paper: Top margin = 1" Title: Centered, initial caps, boldface drop 7/16" Author(s) Name(s): If only one author -- centered, initial caps, roman. If two authors -- first author should be flush left, and second author flush right. If there are more than two authors -- first author should flush left, second author should be centered, third author should be flush right, and so on. Affiliations should be centered under each author name. drop 7/16" to first line of text. Main text: Manuscripts must be printed two columns to a page. The dimensions of the columns are 3-1/4" wide, 7/8" margins in the right and left sides, and 1/4" gap between the two columns. The bottom margin in all cases is 1 1/8". Start text on all pages except the first page at 3/4" below the top of the page. Begin the first paragraph (page one, column one) with the abstract - indented 1/4" on both sides. For the body of the text, use 10-point type in a clear, readable font (Times-Roman or equivalent), with 1-point leading (i.e., 10 on 11). Headings should be in 12-point type, with 1 line of space above, and one-half line of space below. Table and figures should be centered in one-column, or centered at top of page if figure is larger than a column in width. Set up a logging system for verifying and tracking the final paper submissions as they arrive from the authors. It is easiest to use an alphabetical list of the authors. This might be something as simple as the mailing list for accepted papers. The log sheet should include: date of receipt, indication of approval for printing, submission of the copyright transfer form, and perhaps other information for your convenience such as the author's contact information. 2. Authors may request extended deadlines for their papers. Make sure that any extensions allowed do not jeopardize your printer's schedules. 3. After all the papers and copyright forms are checked-in, use the Table of Contents to double-check that everything has been received and is suitable for camera-ready reproduction. 4. Check all the papers for the following: a. Missing pages, or pages out of sequence. b. Broken type, blurred type, type that is either too dark or too light, and other legibility problems. c. Correctness of margins on top, bottom, and sides. d. Illustrations placed correctly and securely within margins (loose pieces can drop off during shipping and handling). 5. For any problems you discover during the check, contact the author to request corrected pages. If this is not possible for reasons of schedule or author availability, many problems may be corrected with paste-up methods for repositioning text within margins, repositioning art, stripping in replacement type, or other related problems. 6. After ensuring that a copyright form has accompanied each paper, ship the complete set of Copyright forms to Morgan Kaufmann. VLDB Organizers Kit Page 14 (V, Preparing the Cover) V. PREPARING THE COVER 1. Check with your printer in advance and request information on their requirements for the cover mechanical. 2. Hire a designer to create your cover mechanical, incorporating the meeting logo and all typography, based upon your printer's requirements. Again, your local graphic arts or publications office may be able to help you with the cover mechanical preparation. You must provide the designer with all the information that will appear on front cover, spine, and back cover. This includes the ISBN and ISSN for the back cover, as well as date, location, and editor names on the front cover and spine. (See page 15 for examples). 3. Prepare the cover mechanical for the printer at least 3 weeks in advance. It should be shipped to the printer at least one week in- advance of the final camera-ready pages. Note: It is very important to maintain regular contact with the printer concerning the cover, and the printing schedule generally. Printers may be inclined to shift schedules or delay jobs if they perceive one schedule as less important than another, and this can be a problem for publications that are time-sensitive such as proceedings. ======================================================================== Morgan Kaufmann Publishers, Inc. Typesetting Frontmatter: Use 14 pt Times Roman Bold, centered, for frontmatter heads; 12 pt Times Roman with bold for typesetting the names and affiliations. All frontmatter must be paginated in small-case roman numerals, and centered on the page, 1/2" from the page bottom. Table of Contents: Session titles are flush italic; paper titles are flush bold, and initial caps; indent 1/2" for authors -- 12 pt times roman. Preface should always start on a right-hand page, and it should be a numbered page. 2. Backmatter Prepare the Index of Authors in alphabetical order. This page should be placed at the end of the text, and should not be part of the frontmatter. All this information should be typeset, proofread, and sent to the another member of the committee to confirm accuracy before sending to the printer as final camera-ready pages. Camera-Ready Preparation Develop a pagination guide for the frontmatter, and organize the papers as indicated by the table of contents. It is acceptable for papers and other pages to start on either a right or left page, however the following pages should always be on a right page: a) Book Title page b) Contents - first page of the contents c) Preface d) First Paper - first page of the paper After the materials have been organized, give everything a final check to ensure correct page sequences, page numbers, order of front matter, security of any pasted figures or text, correct cover information and serial numbers (ISSN/ISBN), etc. You will have one other opportunity to correct pages if necessary when the printer returns the `bluelines' (film positives for the printing process). However, the bluelines are only intended as a check of the printer's work. You will receive additional charges from the printer for any corrections you make at blueline that are not printer errors. 4. Camera-Ready to Printer The printer must be sent the following items: a. Front cover, back cover, and spine mechanicals. b. Camera-ready of all the pages, correctly paginated and in order. c. Pagination guide of the front matter, and a list of all the pages that are blank. (See the Appendix for a sample of pagination guides). d. Letter containing your shipping instructions in detail and confirming your schedule. (See the Appendix). Note: Before sending the camera-ready pages to your printer, verify the schedule with the printer's representative to ensure that nothing has changed since their bid was submitted. SHIPPING INSTRUCTIONS To maximize sales and distribution of the annual VLDB Proceedings, these are general guidelines for shipping procedures following the conference. Although much of the information will not change from year to year, contact Morgan Kaufmann at least three months prior to each conference to verify and obtain any necessary shipping revisions for each different country. Following these procedures will ensure timely and cost- efficient delivery of the books to the United States and our foreign agents, enabling us to fulfill customer orders more expeditiously and provide increased revenues to the Endowment. Shipping packages internationally requires you to secure the services of customs brokers and freight forwarders. Our customs broker for incoming shipments to our United States warehouse is Hoyt Shepston, Inc. of San Francisco. They have business relationships with several freight forwarders around the world and will provide Morgan Kaufmann with the name and address of a responsible forwarder in the city where your VLDB conference is held. You, or someone you designate, will be liaison to the freight forwarder and make arrangements for the shipments requested by Morgan Kaufmann. 1. The Bill of Lading Each shipment requires a Bill of Lading for the freight company. On the Bill of Lading, four parties must be defined: shipper, consignee, notify party, and delivery address. ISBN LOG Universally, every book published must carry an ISBN (International Standard Book Number) which is used for identification and ordering purposes. The ISBN is a unique number that is used by bibliographic sources, libraries, and bookstores, to identify the publisher and title of each published book. The ISSN identifies a book as part of a series of related titles. Using both numbers ensures that the VLDB Proceedings you've organized can be ordered and referenced accurately and easily. ISBNs for VLDB volumes are by Morgan Kaufmann. The following numbers have been reserved for future VLDB Proceedings: VLDB 1994 1-55860-153-8 VLDB 1995 1-55860-xxx-x VLDB 1996 1-55860-xxx-x VLDB 1997 1-55860-xxx-x VLDB 1998 1-55860-xxx-x Because the PROCEEDINGS ON VERY LARGE DATA BASES comprise a series, each individual volume must also carry the ISSN (International Standard Serial Number) notation, which is 0730-9317 and should be used each year, in addition to the ISBN for that particular year. Both the ISBN and ISSN must appear on the copyright page of the book, as well as in the lower right hand corner of the back cover (See the Appendix for samples of the frontmatter and cover). CHECKING BLUELINES Approximately two weeks after the camera-ready has been shipped to the printer, they will send you a set of bluelines together with your original camera-ready copy. The bluelines are a print from the film that will be used for printing the book. It is your last opportunity to make any corrections. Check the bluelines for the following: 1. All pages are in correct sequence. (Occasionally, pages may be reversed by the printer). 2. Check the pages for smudges, blotches, or other defects in the filming process. 3. Make sure that the color of the pages are even and consistent -- some may be too light or too dark. 4. If you find a problem, mark the correction on the blueline, and tell the printer the page numbers of the corrections in a cover letter accompanying the blueline corrections. There is no charge for these corrections if they are due to a printer error. There will be a charge, and/or penalty for changes that are due to your error or bad camera-ready originals (e.g. poor output of a paper, or incorrect ISBN on the cover). ======================================================================== Morgan Kaufmann Publishers, Inc.
